Ministry Administrative Assistant

Job Description

The Ministry Assistant will provide high-level administrative support to the pastor and to the ministries of Camas Friends Church. The position requires hospitality and a remarkable attention to detail. The successful candidate will have a high level of integrity, be able to handle multiple and diverse tasks, and work independently. The position also requires great interpersonal skills for interaction with our congregation, renters, and community participants who use our facilities. Preferred candidates are members of the Camas / Washougal / East Vancouver community.

Duties

  • Serve as point of contact for general maintenance and other facility concerns including reporting any incidents or potential safety problems to appropriate representatives.

  • Arrange visits by repair people, tradespeople, contractors, inspectors, as needed, scheduling their visits for times when the ministry assistant or a designated colleague or volunteer is available to greet and work with them.

  • Answer phones, and greet visitors to the church office during office hours.

  • Notify appropriate church leaders of important correspondence regarding church functioning.

  • Compose and draft documents and correspondence for presentations, letters, and other business. 

  • Maintain a church calendar of events.

  • Provide support for the pastor by gathering information needed for the weekly newsletter.

  • Email church members with periodic updates and weekly Zoom links for services.

  • Maintain accurate contact information for church participants and create a yearly updated address booklet.

  • Maintain orderly records (business meetings, committee meetings, correspondence, etc.).

  • Oversee scheduling of meetings, events, and services in the building.

  • Keep the church office and sanctuary entry tidy, organized, and supplies updated.

  • Keep inventory and order supplies related to the ministry’s needs.

  • Open the food pantry and supervise visitors.

  • Prepare for and assist in laundry ministry.

  • Ability to maintain a high level of accuracy in preparing, researching, and entering data.

  • Proficient in Microsoft Office Suite or related software.

  • Ability to work independently.

  • Competence with and commitment to diversity and inclusion. 

Education & Experience

  • Office administration or similar work experience for a minimum of 2 years required.

  • High school diploma or G.E.D. equivalent required.

  • Volunteer church experience for a minimum of two years.

  • Basic bookkeeping experience or general knowledge of bookkeeping practices (preferred).

  • Proficiency with computer skills and preferred experience with programs such as: Microsoft Office (e.g. Word, Excel) Email, Squarespace, Google docs, MailChimp.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.

  • Must be able to lift up to 15 pounds at times.

Camas Friends Church is hiring for a part-time, flexible Administrative Assistant. This position is hybrid, working partially on site at the church location in Camas, WA and working some hours remotely. The role also allows for a flexible schedule for work performed outside the mutually agreed upon office hours. The Admin Assistant supports the administrative functions of this Quaker meeting, supports our pastor and maintains the smooth functioning of our ministry programs that currently include Laundry Love and a small onsite food pantry.
